Web Conferencing: How Does it Work?

Why Use WebEx?

There may be times when it is most effective to communicate using The University's web conferencing tool, WebEx.

When the Library staff are working with you, whether you're working on a research question or have a question about your information literacy modules, we sometimes need to quickly demonstrate a search by sharing our screen or even asking you to share your screen with us.  If you have emailed, called, or asked a question via chat we may recommend that you meet us in our web conference room to assist you more effectively. 

Make sure you have your sound and microphone enabled.  We can chat but using the voice feature is much more effective.  Webcams also work well.

Set up:

For best results, enter the library's WebEx room while using a desktop computer or laptop.  We also recommend using a space that allows you to talk freely, so avoid public spaces like public libraries and computer labs. You can access the service using a smart phone or tablet, but there may be additional technical limitations and navigating may be less efficient.  In general:

  • We have found it best to use the Mozilla Firefox browser.
  • If using the Chrome browser, you may need to download the WebEx extension.
  • If using a mobile device (smart phone or tablet) then you will need to download the WebEx app prior to entering the room.

Joining a WebEx meeting from a PC or Mac:

  • Go to the library's WebEx room: https://uakron.webex.com/meet/waynelibrary
    • Or follow the link provided in the invitation email from the library staff (or see contacts below)
  • Enter your name and UA email address
  • Select "Join"
    • If you join a room before the host, select "Notify Host."
  • To activate your microphone, select "Call Using Computer"
  • If you have a webcam, be sure to select "Start my Video"

Joining a WebEx meeting from a mobile device:

To get started, download the Cisco WebEx Meetings app and install it on your device. The app is available for iPhone, iPad, Android phones and tablets, Windows 8 phones, and BlackBerry.

  • Open the invitation email, then select Join.
  • When asked to open in "WebEx" select "Open."
  • When asked about terms and services, select "I Accept."
  • Enter your name and UA email address
  • Once you enter the room, connect to audio by selecting "Connect Using Internet."
  • When asked if WebEx can use your microphone, select "OK"
  • You may need to un-mute your microphone
  • You may decide to access your camera
  • Tap WebEx Meetings, then tap Join by Number. Enter the meeting number, your name and email address, then tap Join.

Web Conferences

Want to set up an appointment for a web conference with a library staff member?  There may be times when using WebEx would be the most effective way to communicate with a member of the library staff.  For example:

  • Are you a student who is primarily off-campus and can't come to campus to get help?
  • Are you having problems navigating a database or don't know where a resource is located on our website?
  • Are you struggling with some of the information literacy modules and just need someone to demonstrate some of the skills while you ask questions?
  • Are you finding you are re-taking information literacy module quizzes and you need help explaining what you're getting wrong?

There are a number of ways you can arrange for a web conference using WebEx.  You can call, email, or chat with us online and let us know how we can help.  There may be times when we can join you in WebEx right away to help answer your questions, but in most cases we will have you make an appointment with the library staff member most appropriate for your questions.  Let us know if you would like to schedule a meeting by reaching out to the contacts on this page.
