LibCal Outlook Integration: Calendar Availability

This guide will describe how to integrate your outlook calendar with LibCal allowing you to create an way to schedule appointments through your profile in any Lib-Application.

Calendar Availability

LibCal allows you to set your times for available appointments within your Outlook Calendar. This allows you to designate both days as well as time frames with days for scheduling. This will also allow you to see your availability as it relates to your Outlook calendar. Follow the steps below to set your Appointment Availability. At the bottom of the page you will find instructions on how to remove Availabilities.

Calendar Availability Setup

In order to allow people to schedule an appointment with you, you must first set your availability. This is done through LibCal and acts as a boarder over top of your Outlook Calendar. Any appointments that are listed on your Outlook calendar will take priority over LibCal, but when you set your availability, NO appointments can be made outside of that availability.

Below are the steps for setting your Availability for Appointments:

  1. Go to LibCal

     
  2. Click on the Appointments Menu

     
  3. Select the Availability Tab

     
  4. Click in the box to the right of "Start Time" and select the Hours and Minutes that you would like any appointment to start.
  5. Do the same with the box to the right of "End Time" and select the Hours and Minutes that you would like no appointments scheduled after on any day.

     
  6. Select the Repeat Pattern for your Availability
    • Single Date: Creates availability on one day.
    • Daily: Creates availability for every day of the week in the date range you set.
    • Weekly: Creates availability on set day(s) of the week (i.e. Monday, Wednesday, Friday, or Weekdays) in the date range you set.
    • Monthly: Allows you to create availability for specific day(s) of the month or specific occurrences within a month (i.e. the 1st of each month, or the first and third Mondays of each month).
    • Multi-Date Picker: Allows you to create availability on dates with no specific pattern.
       
  7. ​You do not need to adjust the "Location" or "Group"

  8. The final step is optional. As you can see is the screen capture, I have listed directions to my office. If your office is not easily found, you may want to add a "Direction Override" which will display directions to your office when the person is scheduling an appointment with you.
  9. Finish by clicking on the button to "Add Availability" 

Deleting Availability

If you have scheduled Availability for your LibCal Appointments and now want to remove the Availability times or dates, you will need to complete the following steps.

First

Begin by following the steps listed above for adding Availability, but DO NOT click on the "Add Availability button.


Second

Instead of Adding an Availability, click on the "Run Pre-Delete Checks." This will have LibCal check your scheduled availability and ensure that you actually have a scheduled availability at the time you are looking to delete. This check will also ensure that you have no scheduled Appointments during this time.


Third

Finally after you have been informed if you have a scheduled Availability or any Appointments; you will receive a prompt at the bottom of the page to "Delete Availability". In doing so, you remove those dates and times from your LibCal Availability.
